Procedure

Perform the following steps:

  1. Select an option from the Account dropdown. Depending on user permissions, the dropdown lists all accounts for which the user is a member as follows: Users with Basic Access can access the Order Maintenance tab. Users with Basic Access & Ability to Order on Website can access the Order, Order Maintenance, Reporting, and Admin tabs. Users without permissions will see the following error message: User is not configured (does not have the necessary permissions) for Flood Determination Services. Please contact us at floods@wolterskluwer.com for configuration.
  2. Select an option from the Lender Contact dropdown. This option appears if the Account for which the User is a member contains multiple lender contacts; the default is the lender contact selected during initial setup.
    Note: The Administrator will configure the lender contact during initial setup.
  3. Select an item from the Product Type dropdown; the available items are based on what is contracted for the organization.
    There are two types of residential flood determinations, Basic and Life of Loan. The determination type defaults to Basic, Life of Loan, or neither based on the user admin settings. This field is editable so any selection can be overridden by the user.
    Depending on the organizational contract, users can also select Commercial.
  4. Select the Dwelling Type from the corresponding dropdown.
  5. For Commercial users only: select the Dwelling Type for the Number of Structures from the corresponding dropdown.
  6. Enter the Loan Number for the flood determination order. If no Loan ID is available, it is recommended that you use the borrower’s name, TBD, NA, or a place filler (such as a period). This field is limited to 37 characters. The loan ID can be changed up to 90 days after the determination has been completed by contacting floods@wolterskluwer.com.
  7. Enter the Tax Map Number, if applicable.
  8. Enter the Name of the property owner. Enter the borrower’s name in this field. You can enter the borrower’s name as your lending institution prefers: First/Last, Last/First, Last only. If you do not have a borrower’s name when ordering a new determination we suggest using TBD, NA, or a place filler (such as a period). The borrower’s name can be changed up to 90 days after the determination has been completed by contacting floods@wolterskluwer.com.
  9. Enter the Address for the flood determination order. Enter the building # and street name. For non-traditional addresses, such as rural routes or PO Boxes, provide additional information that will help locate the property in the Notes field. For determinations based on a legal description, please enter See legal in the Address field and include additional information that will help locate the property in the Notes field.
  10. If necessary, enter additional address information on the second address line, such as a unit or apartment #.
  11. Enter the City for the flood determination order. Enter NA if the city is unknown; include additional information, such as the County, that will help locate the property in the Notes field.
  12. Select a State for the flood determination order from the corresponding dropdown. We cannot complete a determination without this information. If you do not know the state, contact floods@wolterskluwer.com for assistance.
    Note: We can only complete determinations in the U.S.A., Puerto Rico, and the U.S. Virgin Islands.
  13. Enter the Zip Code for the flood determination order. Users must enter a valid zip code formatted as ##### or #####-####.
  14. The email address entered for the user within user setup will appear in the Email Certification To field. If an auto-determination is made, an email containing a copy of the FEMA Form and Notice Letter will be sent to the email address provided. Separate multiple email addresses by a semicolon (;) and space. If no email address appears, you may enter one manually in this field. If you do not wish to receive the determination by email, leave this field blank.
    Note: An email appears with the following prepopulated information:

    Subject: Wolters Kluwer Financial Services - Flood Determination Completed

    The following flood determination has been completed.

    Certificate Number <cert #>

    Loan Number <loan #>

    Borrower Name <name in Borrower Name field on Order screen>

    Address <information entered in Address, City, State, and Zip Code fields on Order screen>

    Flood Zone <flood zone indicator>

    The completed determination is attached here for your convenience, but it can also be retrieved through your ordering system.

  15. If necessary, change the Processor name. The primary contact information will automatically populate in the Processor field and will print on the completed determination.
  16. If necessary, enter any Notes for the flood determination order. This is an optional field and the information entered does not print on the completed determination. This field can be used to enter a brief legal description, additional property information, or processor contact information. This field is limited to 300 characters. If the additional information exceeds the character limit contact floods@wolterskluwer.com.
  17. Enter any comments or information that should be printed on the FEMA form in the Comments field. This is an optional field that can be used for additional information such as a subdivision name. Information entered in this field will print on the completed flood determination. This field is limited to 80 characters.
  18. Click the Submit Order button to continue. To cancel without submitting, click Cancel.
    The Order Details screen appears; see Order Maintenance/Order Details below for more information.
